2. Description of Mail Handling Process for Amazon SES Validation

2.1. Handling of Bounces and Complaints (Automated Loop)

To ensure high deliverability and reputation protection, we have implemented a fully automated feedback loop using Amazon SNS coupled with a dedicated webhook on our application.

  • Configuration: All outgoing emails are sent with a specific Configuration Set named my-leads-now-config. This Configuration Set is linked to an Amazon SNS Topic, which triggers a secure HTTPS webhook on our backend whenever a Bounce or Complaint event occurs.
  • Hard Bounces: Upon receiving a "Permanent" bounce notification, our system automatically identifies the recipient and updates their status to bounced in our database. This immediately blocks any future email attempts to this address.
  • Complaints: If a user marks an email as spam, the SNS notification triggers an immediate update of the user's status to complained. Our system then robustly prevents any further communication with this user.

2.2. Handling of Unsubscribes

We strictly adhere to anti-spam regulations by including a clear, functional Unsubscribe Link in the footer of every single email sent via SES.

  • The unsubscribe link points to a dedicated endpoint on our application (/unsubscribe/[contact_id]).
  • When a recipient clicks this link, their status is instantly updated to unsubscribed in our database.
  • Our sending logic (Email Guard) checks this status before every transmission. If a contact is flagged as unsubscribed, bounced, or complained, the email sending process is halted before any request is made to the Amazon SES API.

2.3. Recipient Acquisition

All recipients are registered users of our SaaS platform who have explicitly opted in to receive transactional notifications (account updates, invitations, password resets) or have established a business relationship with our clients. We do not use purchased lists.

3. Data Collection

We collect data necessary for the proper functioning of our service, including:

  • Account information (name, email, company)
  • Service usage data
  • Technical logs for security and debugging
